4 - Searching & Reporting (Transcript)

It is possible to search the entire content and generate specific reports using Parago.

Searching for a specific item is easily done using the quick search field on the right when navigating through any part of the virtual organisation. We can simply enter a string of characters which the system will use to return a list of all assets that match. For example, if we know the IP address of a computer, we can search for it by entering all or part of the number in to the search field.

The advanced search tool works on a query by query basis. It can be accessed by clicking on the ‘Advanced Search’ link below the basic search fields. As you can see there are a set of pre-defined search criteria that have been added on requests from organisation already using the system. These include, for example, a search to show all the assets which need to be PAT tested within one month.

It is also possible for the user to create custom searches to locate a specific group of assets.

The Reporting tool can be accessed via the ‘Report’ button on the Home page, here. There are several pre-defined reports, broken down in to sections, first we see that there are sections for all Assets, and for Software.

Let's firstly look at the software reports, within this section, it is possible to generate a report on all the software installed within the school, or a report about the software managed by the software license manager.

By clicking on the ‘Back’ button, here, we can go up one level to the reports Category section. Next, we'll look at the asset reports available:

An Asset List report is fully customizable, and can be used to generate a report on the hardware stored within a location, such as a room or the entire organisation.

A Networking Report is used to generate a detailed report on the networked computers within the organisation, this includes the IP addresses and network configurations for each computer.

And an Asset Statistics Report is used to show statistics about specific products within the school.

All reports are saved once they have been run, so that they can be referenced to in the future. A completed report can either be viewed on screen within a web page, Printed to PDF, or exported to plain text or CSV files.
